Smoking policy

• Our hotel is entirely non smoking. The hotel reserves the right to charge a guest who is found to be smoking in a room or elsewhere on the hotel premises for the additional cleaning charges that the hotel will incur. Should a guest continue to smoke, the hotel reserves the right to have the guest removed from the hotel.

PERSONAL INFORMATION WE COLLECT AND HOLD AND THE PURPOSE FOR WHICH WE USE IT

This Privacy notice applies to all personal information collected by Holland Road Hotel Opco Limited by whatever means, both about its customers and about its contacts. The below applies to customers and explains what personal information we collect about customers, how we collect it, what we use it for and the legal basis on which we rely to do so.

WHAT INFORMATION DO WE COLLECT ABOUT OUR CUSTOMERS?

The personal information we collect may include:-

        I.            name, email address, home and/or business address, phone number;

      II.            where you become a member of our health or golf clubs or use their facilities, date of birth;

    III.            bank account and payment card information;

    IV.            booking history;

      V.            transactional data including details about payments to and from you and other details of products and services you have purchased from us;

    VI.            information relating to your use of our services, such as room preferences, special requests, feedback and survey responses

 

HOW IS OUR CUSTOMERS’ PERSONAL DATA COLLECTED?

We will collect this data from you when you provide it to us by phone, email, post, through our website or in person.

LEGAL BASIS FOR PROCESSING CUSTOMERS’ PERSONAL DATA

        I.            to fulfill your bookings and/or to provide services or facilities you request from us;

    IV.            where you have made a reservation with us, to send you information before your visit to confirm the reservation and to provide you with other information relating to your reservation which we think you may find of interest

We will not disclose personal information we hold about you to any third party except where required by law or as follows: -

        I.            to companies in our hotel group;

      II.            to third parties who provide services to us, and act as data processors for us;

    IV.            to HM Revenue & Customs, regulators and other authorities who require reporting of processing activities in certain circumstances.

Please note that we do not allow our third-party service providers to use your personal data for their own purposes and only permit them to process your personal data for specified purposes and in accordance with our instructions.

DATA SECURITY

We keeps your personal information secure at all times using both physical and technical controls to prevent your personal information from unauthorised access, use or disclosure.

We ensure access to personal information is restricted on a strict ‘need to know’ principle and that our staff are made aware of the data protection and security policies and procedures they must follow when handling personal information.

We have put in place procedures to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach where we are legally required to do so.

 

HOW LONG DO WE KEEP YOUR PERSONAL INFORMATION FOR?

We will only keep your personal information for as long as is needed or legally required. All personal information is deleted or securely destroyed at the appropriate time and we will not keep your information for longer than is required.
